Assistant to the President – Staff Position

JOB TITLE:                         Assistant to the President

JOB SUMMARY:                 Provide personal administrative support and assistance to the President to facilitate the efficient operation of William Penn University.

DEPARTMENT:                    President

QUALIFICATIONS:

A. Education

High School diploma, Bachelor’s degree preferred.

B. Experience

5 years administrative assistant, clerical or related experience.


C. Abilities


*Office management/coordination abilities.

*Independent decision making, ability to exercise good judgment, accuracy, flexibility and well developed critical thinking skills.

*Ability to work in an environment of shifting priorities, frequent, interruptions, hectic pace, high level of interaction with students, staff and/or the public.

*Working knowledge of computer software programs which may include Word, Excel, institutional mainframe computer system software, or similar programs.

*Excellent written communication skills including proficiency in business English, grammar, punctuation, and spelling.

*Ability to handle highly confidential matters and materials with discretion.

*Ability to work independently as well as be a collaborative team player in completing assigned tasks and meeting deadlines.

*Excellent customer service skills including phone and in-person reception etiquette.

*Proficiency with office machines including fax, scanner and copy machine.

REPORTS TO:                                   President

PERFORMANCE RESPONSIBILITIES:

  1. Provide an education with a Leadership and Technology focus, and enliven thatprovision through adherence to the Quaker principles of simplicity, peace-making, integrity, community, and equality.
  2. Represents the College in a positive manner with prospective, current, and former students, employees, and the community.
  3. Demonstrates enthusiasm, self-motivation, and a positive attitude in meeting and dealing effectively and courteously with students, other personnel, and all members of the community.
  4. Performs in a manner which benefits student learning.
  5. Maintain Proficiency use of University database systems.
  6. Provide administrative support to President, CFO, and Chair of Trustees
  7. Schedule on campus meetings with President
  8. Take minutes of cabinet, trustee and other meetings as directed by President
  9. Shows evidence of careful planning and evaluation. Is adequately prepared for work activities.
  10. Activities and behavior commands the respect of supervisors and colleagues. Fosters a positive relationship and rapport with colleagues.
  11. Can be depended upon to meet deadlines. Is reliable in attending meetings and completing commitments.
  12. Establishes and maintains an accepting office environment by exhibiting an appreciation of cultural diversity.
  13. Maintains active membership on committees that support and promote the university.
  14. Serves as the Secretary to the William Penn University Board of Trustees.
  15. Administer collection efforts for student accounts and institutional loans under the direction of the Student Account Manager. This includes the following:
    1. Process monthly collection agency and account payments.
    2. Print ECSI and collection agency monthly reports and manage accounts between collection agencies.
    3. Send out monthly paid in full letters for inactive student accounts and institutional loans.
    4. Review and Process Forbearances, Economic Hardships, Cancellations, and Deferments on loan accounts
  16. Travel may be required.
  17. Works harmoniously and effectively with others.
  18. Other duties as assigned.

Performance of this position will be evaluated in accordance with the policies established by the Board of Directors of William Penn University.
